Q.

When will I get my check?

A.

Royalty checks are issued on the 15th of each month, unless the 15th falls on a Saturday/Sunday/Bank holiday.  Owners are offered two payment options – Paper checks, which are sent via USPS mail on the date of the payment or Direct Deposit Form, which guarantees that the funds are deposited within 2 days of the payment date and a statement is sent via email on the 15th of the month, unless the 15th falls on a Saturday/Sunday.

Can I get my royalty payments via Direct Deposit?

A.

Yes, please complete the Direct Deposit Form. You have the option of printing and mailing the form to us or simply emailing it to us at revenue@jaybeeoil.com.  Please note that a VOID check must be submitted and an e-mail address is required for statements being sent

Q.

What address was my check mailed to?

A.

Checks are mailed to the address you’ve most recently submitted to our office.  Keeping us updated is of the utmost importance.

How can I change my address?

A.

Please complete a Change of Address Form.  You have the option of printing and mailing the form to us or simply email it to us at owners@jaybeeoil.com.

What is Energylink?

Energylink is an online tool enabling owners to:

Q.

How do I Login to Energylink?

A.

You can Login by visiting energylink.com.  A full Tutorial can be found here.

You should have received a letter with your login credentials, but if not, you can email revenue@jaybeeoil.com to receive your registration notice/login info.

Q.

Why are my check amounts getting smaller?

A.

Jay-Bee works to get the best price for the gas we produce, but there are many factors that impact this price.  Some of these can include the NYMEX Price of gas, certain buyers not needing gas every month, global events, pipeline issues/ maintenance and many other factors.

In addition, the wells that are being produced are on a natural decline curve that will produce more in the first 36 months than future months. You can learn more about a gas well decline curve here.

Q.

Why have I not received a check?

A.

To ensure we are paying the right person, we will need to confirm your information for either a check payment or direct deposit.  While we get some of this information with the initial lease, we use the DOI paperwork to double check this.  

Once we have the correct information, there are a few instances that could prevent a check from being issued:

  • The well has not been drilled or in production yet.
  • Your royalty payment has not crossed the amount required to process a check or ACH ($100 or $50).  Don't worry, on this one we will run a flush run at the end of each year to ensure you are paid any outstanding funds.
  • There was a prior period adjustment impacting your check.  A prior period adjustment (PPA) is an adjustment made to a payment/expense that was made by a vendor, processor, purchaser or the company and it can encompass many months of adjustment on one check.

Q.

Will you reissue a check if I don’t deposit within the deadline; or if it is lost, stolen or damaged?

A.

Yes. If it is past the deadline or damaged, please call the Jay-Bee Owner Relations line and arrange to return the check so that we can reissue the payment in the next check run. If it is lost or stolen, please report this to Jay-Bee as soon as possible so we may put a stop payment on it. Please note that the amount of the reissued payment(s) will be included with your next royalty check; we will not issue a separate replacement check.

Q.

How can I stop or make changes to direct deposit payments?

A.

To stop direct deposit payments and receive paper checks, please notify us via email at revenue@jaybeeoil.com so that we may deactivate direct deposit to your account.  If you wish to make changes to your direct deposit, for example to a new account, you will need to submit a new Direct Deposit Authorization form.  If a distribution occurs while the new direct deposit authorization is processing, the payment may be sent to your previous bank account and you may need to contact your bank directly.

1099 Forms
Q.

When will the 1099 forms be mailed?

A.

Per IRS Guidelines, the annual deadline for mailing is January 31st.

Q.

Why is my lease bonus payment in the royalty box on the 1099-MISC?

A.

Per the IRS, lease bonus payments are considered advances on royalties unless otherwise stipulated in your lease.

Q.

Why does my 1099 statement show more than I actually received?

A.

As required by the IRS, the amount reported on the 1099 form is the gross income before taxes and other deductions allowed under your lease. This will match the total gross amounts shown on your check stubs throughout the year.

Q.

What is considered a recorded document?

A.

ALL documents that transfer or convey any interests in land, minerals, royalties, or oil and gas leases that are the basis for payments from oil and gas well(s) MUST first be filed of record in the Office of the Clerk of the County Commission of the County where the interest is located, and certified copies furnished to us before the transfer of ownership can be processed in our records. For corporations, partnerships, trusts, and limited liability companies where the change of ownership is requested due to merger, dissolution, or name change, then appropriate documentation or certificates evidencing such changes MUST first be filed of record in the Office of the Clerk of the County Commission of the County where the interest is located or with the West Virginia Secretary of State, and certified copies furnished to us before the change can be processed on our records. If submitting documents via email, the document certification must be legible in the scanned file being emailed.

How do I sell my interest?

A.

Q.

How do I change ownership into my name for an interest that I have purchased?

A.

If you receive a full or partial conveyance of an interest, you will need to provide a copy of the recorded deed, assignment or other conveyance document recorded in the county and state where the interest is located, along with an executed W9 form.

If the copy you provide is not recorded, Jay-Bee will place any payments in suspense until a recorded document is received.

What if I have changed my trust (creation, dissolution, etc)?

A.

Creating, changing, or terminating of Trust:

When a trust is created you will need to furnish Jay-Bee with a copy of the Trust Agreement and the recorded conveyance of interests into the Trust.

When a Trust is terminated you need to furnish the instrument of Dissolution with original signatures and interests related to the mineral interest and the recorded conveyance to beneficiaries or partners.

When a trust is changed due to death: you will need to furnish Jay-Bee with a copy of the Trust Agreement, death certificate, and document appointing successor Trustee(s).

When a trust is changed due to resignation: you will need to furnish Jay-Bee with a copy of the Trust Agreement, recorded document stating resignation of current Trustee, and appointing successor Trustee(s).

If the change results in a different taxpayer identification number (SSN or FEIN) being used by the royalty recipient, you must also submit an executed W9 form with the new number and recipient.

Q.

What if I have changed my corporation, partnership or Limited Liability company?

A.

Must Provide a copy of the documentation implementing the change (certificate of name change, certificate of merger, other West Virginia Secretary of State documentation, etc.)

If the change results in a different taxpayer identification number (SSN or FEIN) being used by the royalty recipient, you must also submit an executed W9 form with the new number and recipient.

What if a mineral owner passes away with a will (Testate)?

A.

The executor of the estate must provide copies of:

  • Entire probated and recorded will including any codicils
  • Recorded estate administration documentation (appointment, appraisement, accounting, settlement, etc.)
  • Trust document (if applicable)
  • Death certificate
  • Names, addresses, emails, and phone numbers for all beneficiaries under the will, including executed W9 forms for all beneficiaries listed

What if a mineral owner passes away without a will (Intestate)?

A.

Must provide copies of:

  • Recorded estate administration documentation (appointment, appraisement, accounting, settlement, etc.)
  • Recorded affidavit of heirship
  • Death certificate
  • Names, addresses, emails, and phone numbers for all heirs, including executed W9 forms for all heirs listed

What if a nonresident mineral owner passes away with or without a will?

A.

Must provide copies of:

  • Recorded, out-of-state estate administration documentation
  • Recorded West Virginia ancillary administration of West Virginia real estate without appointment documentation (affidavit, notice, certification of completion, etc.); OR documentation noted above for the death of an owner with or without a will in West Virginia
  • Death certificate
  • Names, addresses, emails, and phone numbers for all heirs, including executed W9 forms for all heirs listed

Q.

How does a mineral owner appoint or change a Guardian, Conservator, Attorney-in-Fact or Agent?

A.

Must provide a copy of:

  • Order appointing or changing a guardian or conservator
  • Recorded power of attorney
  • The agency agreement

If the change results in a different taxpayer identification number (SSN or FEIN) being used by the royalty recipient, you must also submit an executed W9 form with the new number and recipient.

What if a mineral owner gets a divorce?

A.

Must provide a copy of divorce decree including any settlement agreement.

What if there is an Automatic Conveyance Upon Death (Joint Owners with Right of Survivorship and Life Estates)?

A.

Must Provide a copy of:

  • Death certificate
  • Recorded document setting forth the automatic conveyance

What information do I need for taxes?

A.

Please consult with a tax professional to understand what information is needed for taxes. If additional check stub information is required, you can find this information on EnergyLink.

If you have a situation or circumstance not covered above, please contact Owner Relations to discuss what documentation will be required to transfer the mineral interest in Jay-Bee’s records.
